Minutes of 15th Spring General Meeting held at the Pavilion, Avenue Road, BANSTEAD

Tuesday 5th April 2016 at 7.30pm

In his opening remarks the President extended a warm welcome to everyone present asking 1 new member present to stand and introduce himself.

Members were informed of the recent death of Derek Spanton. A short silence was held in his memory. Derek’s cremation will be held at Randall’s Park on Tuesday 12 April at 11.00am.



The Notice convening the 15th Spring General meeting was read.



Apologies for absence - Apologies were received from 8 members



Minutes of 14th Spring Meeting -The Secretary did not read out the minutes of the last (14th) Spring General Meeting as they had been posted on the notice board and sent out to those members with email. It was agreed that the minutes were an accurate statement of points discussed. No matters were raised.

Minutes of this meeting will be circulated by email and displayed on Men’s Noticeboard. There have been problems with some members, who have email addresses, not receiving the information. Both Pam Parker and myself have experienced this and we have decided that it might help if information is posted on the club web site.







A .The Green - Important machinery has been repaired which has allowed a more thorough Autumn/Winter maintenance programme to be completed. Longer solid tines have been purchased the use of which will improve green drainage and consequentially deeper root growth. This should have a marked effect on eliminating the problem of bouncing bowls. Spring maintenance is now in progress. It is proposed, weather permitting, to open the green for bowling on Saturday 23rd April. The ladies section will be informed, a notice to be put on the club web site as well as on the notice board in the club house. Members were again asked to be aware of notices indicating whether protective mats are to be used before starting bowling sessions. This rule does not apply to competitions and matches. There was a marked improvement last year with members being more aware of the requirement.

B. Work to Pavilion – Undergrowth at the rear of the pavilion was cleared along with the gutters. Repairs have been completed to the removable section of timber decking. Replacement of the entire timberwork/decking should be planned for winter of 2017.

Brian Parker and John Newton have completed re-decoration of the male and female changing rooms. Installation of a canopy over the front entrance door has been completed. Consideration is being given to improving the location of the front keypad.

An order will be placed with the Crockford Cleaning Services who submitted the most competitive quotation. Work will be undertaken on 19th April starting at 7am. The floor is not to be walked on until the next morning. Furniture will be move into the changing rooms on evening of 18th. Volunteers are required to move furniture back on 21st April.

Re-decoration of the outside of the pavilion has been commenced and is planned to be completed over 11/12th April. During the same period benches will be treated and mastic pointing, to window frames, will be renewed. Volunteers were requested.

Sample table made out of pallets still to be completed. John Holmes offered a supply of old pallets if required.

C. Playing arrangements – In a recent Board reshuffle, Alan Frost has taken over responsibility for bowling activities from Alistair.



















Captain’s Report – A request was made for the availability sheets for May and June to be returned as soon as possible. Team selection forms will be posted on the notice boards. Punctuality for attending matches was stressed. The captain asked that selected players if unable to play give as much notice as possible.

It was hoped that everyone would have an enjoyable season.







Match Secretaries Report – Members should have received there fixture lists by now. Anybody who has not please look in the post box. If that is not successful please contact Pam Parker who has a supply.

There are two new matches this year, a NDTL match against Newdigate on 19th June and a mixed friendly with Lower Kingswood on 21st September. Please note that dress code will be greys at the request of Kingswood.

Offer dates for 2017 have been sent and agreement of these dates are starting to come back.





Competition Secretaries Report – The application forms for the internal competitions are due in to Mick Goodson this week. A meeting will be scheduled to discuss handicaps and make the draws for all competitions when all entry applications are received.

The round completion dates are available on various notice boards around the clubhouse. When individuals in a game are known, contact is to be made with each other as soon as possible. The challenged, second named individual or team in a competition, should not wait too long for the challenger to make contact.

The competition secretary will regularly monitor the rink diary to ensure games are being planned and completed.

The organisers of the competitions cannot think of circumstances when a game may be played beyond the appropriate round completion date.










Mixed Triples League – The make of the teams will decided when all competition entry forms are submitted.

The format for the coming season will follow last year’s organisation. A request for replacement of 2 team captains.





Men’s Invitational Triples Day – The format of this event was explained. It was stressed how important it was to submit their triples( Must contain at least I lady.) as early as possible. Alan to organise the event.

Catering for the event will be organised by the social committee led by Stuart. Costs to be defrayed by the teams.







Any Other Business – An entry form for the Sutton and District Blesma Pairs Competition has been placed on the notice board in the men’s changing room for any budding pairs. Entries have to be in no later than 15th May with a £5.00 entry fee.

The Club has entered The Arthur Hughes Triples Competition and it will be up to Alan to put forward 1 triple to play in this competition. Banstead Neville are drawn away against Epsom Court to be played by 5th July. Brian Bilham as club champion is entered into the Paston Cup and plays away against a Sutton Common player by 5th June.

The Bottle Charity was discussed. For a few years the bottle has been standing on the serving counter ready for people to find a home for their small change. It was emptied this week with approximately £41 which was donated to The Surrey Air Ambulance, a charity suggested by the Ladies last year. It was agreed that the same charity, who do worthy work in the local area is sponsored for 2016.

The secretary thanked his fellow committee members for their assistance during the last year and hoped that it will continue through 2016 so as to make this coming season successful and enjoyable for all members.

Thank were also given to all those members who have stood up to be counted when volunteers are required for various tasks around and in the club house.










a.    Reminder issued that Ladies changing room not to be used for Men’s matches.

b.    Error in tea rota list highlighted. Correction circulated to those affected.

c.    Forthcoming coffee morning was advertised with request for members to attend and to offer any bric-a brac items.

d.    Summer newsletter about to be published.

e.    Queen’s 90th birthday to be celebrated by club with a fancy dress fun bowls event and a tea afterwards.

f.     Volunteers requested by ladies for watering duties during summer.

g.    Surrey Year books, club ties, blazer badges and bowls stickers are available for purchase from Mick Goodson.

h.    Request for outstanding green fees to be paid as soon as possible.

i.      Brian Roberts reiterated need for volunteers for maintenance work.
